Ren Limited ("Ren," "we," "us," or "our") operates Renprofile, a customer support and communication platform that enables businesses to connect their support channels and applications, manage customer conversations, and automate customer support using AI.

This Privacy Policy explains how we collect, use, store, disclose, and otherwise process personal information when you use Renprofile, our website, applications, integrations, and related services (collectively, the "Service").

Where Renprofile processes information belonging to your customers, users, or other individuals on your behalf, we generally act as a data processor and you remain responsible for determining the purposes and means of that processing, subject to applicable law.

Information We Collect

We collect information necessary to provide, secure, and improve the Service. The information we collect depends on how you use Renprofile and which features, channels, and integrations you connect.

Account and Workspace Information

When you create a Renprofile account or workspace, we may collect information such as your name, email address, company or workspace name, account credentials, billing information, and workspace configuration.

We also collect information that you and your team create or submit through the Service, including internal notes, assignments, automation rules, agent instructions, knowledge base content, support configurations, and other workspace data.

Customer and Conversation Data

When you connect a messaging or communication channel, Renprofile may process information contained in customer conversations and related records. This can include names, email addresses, phone numbers, usernames, message content, attachments, timestamps, conversation identifiers, thread identifiers, message identifiers, ratings, feedback, and other metadata provided by the connected service.

This information may belong to your customers or other individuals who communicate with your business. We process this information primarily on your behalf to provide the Service.

Website and Knowledge Base Data

When you configure Renprofile to learn from your website or other permitted sources, we may access publicly available pages and content from those sources to build and maintain your knowledge base.

We may use third-party crawling infrastructure, including Jina AI, to retrieve website URLs and page content. Retrieved content may be stored within Renprofile and subsequently processed by our AI systems to provide support and knowledge retrieval features.

Beacon and Website Visitor Data

When a business uses Renprofile's Beacon support widget, we may collect information about visitors interacting with the widget.

Depending on how the business configures Beacon and whether a visitor identifies themselves, this may include a device identifier stored in local storage, name, email address, phone number, conversation history, ratings, feedback, and an identity signature used to verify identified users.

If a workspace enables offline email capture, Beacon may also collect a visitor's email address when the visitor submits it outside the workspace's active support hours so that the business can follow up with them.

Information from Connected Applications

When you connect third-party applications to Renprofile, we process information made available through those connections. The information depends on the application and the permissions you grant.

This may include customer records, order information, subscription information, billing information, CRM records, issue data, workspace information, messages, and other business information.

How We Use Information

We use information to operate and provide the Service, including connecting support channels and applications, managing conversations, maintaining workspaces, providing analytics, and enabling authorized team members to collaborate.

We also use information to operate Renprofile's AI features, including generating responses, retrieving relevant knowledge, understanding customer context, identifying issues, assisting with escalations, and maintaining customer context across conversations.

We may use information to secure the Service, prevent abuse, troubleshoot technical problems, comply with legal obligations, enforce our agreements, and improve the reliability and performance of Renprofile.

We do not sell personal information. We do not use customer conversation content for advertising.

Connected Accounts and Integrations

Renprofile allows you to connect third-party services to your workspace. When you connect an integration, you authorize Renprofile to access and process information made available by that service for the purposes described in this Privacy Policy and within the Service.

Meta, WhatsApp, Instagram, and Messenger

Renprofile integrates with Meta platforms, including WhatsApp Business, Instagram, and Messenger, to allow businesses to manage customer conversations and provide support through channels their customers already use.

When you connect a Meta account or messaging channel, Renprofile may process information made available through the applicable Meta APIs and permissions. This may include business and account identifiers, customer names, usernames, phone numbers, message content, attachments, timestamps, conversation identifiers, message identifiers, and other messaging metadata.

Renprofile may use this information to receive and organize customer conversations, display them to authorized team members, maintain conversation history, send messages on behalf of the connected business, and provide AI-powered support and automation features.

Where AI features are enabled, relevant Meta-sourced conversation data may also be processed by Renprofile's AI providers as described in the AI Processing section of this Privacy Policy.

Renprofile is a Meta Tech Partner and uses Meta's APIs and platform infrastructure in accordance with applicable Meta policies and requirements. Your use of Meta-connected features is also subject to the applicable Meta terms, policies, and permissions.

You can disconnect a Meta integration through Renprofile where supported and may manage or revoke applicable permissions through the relevant Meta account or platform settings.

Gmail and Google Accounts

If you connect a Gmail account, Renprofile uses Google OAuth to access the permissions you authorize. Depending on the permissions granted, this may include reading email and sending email on your behalf.

For the Gmail channel, Renprofile may process the connected email address, message content, sender and recipient information, subject lines, Message-IDs, thread identifiers, timestamps, and related email metadata.

We use this information to bring your email conversations into Renprofile, allow your team and authorized AI features to manage those conversations, maintain conversation history, and send responses through your connected mailbox.

Where AI features are enabled for your workspace, Gmail-sourced data, including message content and related conversation context, may also be processed by Renprofile's AI providers, currently xAI and Anthropic, as described in the AI Processing section of this Privacy Policy. This processing is used to generate suggested or automated responses and provide other AI-powered support functionality enabled by the workspace.

Renprofile does not use Gmail data for advertising or sell it to third parties. Google user data is handled in accordance with Google's applicable API policies, including its Google API Services User Data Policy.

You can disconnect your Gmail account through Renprofile and can also revoke Renprofile's access through your Google Account settings.

Microsoft Outlook

If you connect a Microsoft or Outlook account, Renprofile uses Microsoft OAuth to access the permissions you authorize. Depending on the permissions granted, this may include reading mail and sending mail on your behalf.

Microsoft's Mail.Read permission allows an application to read the signed-in user's mailbox, while Mail.Send allows an application to send mail as the signed-in user.

Renprofile may therefore process your connected email address, message content, sender and recipient information, subject lines, message identifiers, thread information, timestamps, and related email metadata.

You can disconnect your Microsoft account through Renprofile and revoke the application's access through your Microsoft account settings.

Shopify

When Shopify is connected, Renprofile may access customer and order information made available through your Shopify store. This may include customer names, email addresses, phone numbers, order history, purchased items, order amounts, order status, shipping information, purchase totals, and subscription-related information.

This information may be provided to Renprofile's AI systems so that the AI agent can use relevant order and customer context when responding to support requests.

HubSpot

When HubSpot is connected, Renprofile may access CRM information made available through your HubSpot account, including contact records, company associations, deal information, and ownership information.

This information may be used to provide customer context within the Service. Renprofile's AI agent may use information made available through the integration when handling customer conversations.

Stripe

When Stripe is connected, Renprofile may access information made available through your Stripe account, including customer records, subscription status, invoice history, payment amounts, and related billing information.

This information may be used to provide billing and subscription context to your support team and Renprofile's AI agent.

Linear

When Linear is connected, Renprofile may access information required to create and manage support-related issues in your Linear workspace. This may include workspace, team, issue, and comment information.

Where authorized, Renprofile may create issues and post comments in Linear on your behalf.

Slack

When Slack is connected, Renprofile may access information required to operate within your Slack workspace. This may include workspace, channel, message, and member information made available through the integration.

Depending on how you configure the integration, Renprofile may send updates and alerts to Slack and allow team members to interact with the AI agent through Slack.

Discord

When Discord is connected, Renprofile may access the guild and channel information required to send authorized messages.

Discord is primarily used by Renprofile to deliver alerts and notifications, including escalation-related notifications where configured by the workspace.

Cloudflare

If you use Renprofile to configure a custom domain for your help center, you may connect a Cloudflare account.

Renprofile may access the Cloudflare information necessary to manage the relevant DNS configuration, including your Cloudflare zone identifier and identifiers for DNS records created or managed through the Service.

Disconnecting Integrations

You can disconnect integrations through your Renprofile workspace where the applicable functionality allows it. Disconnecting an integration prevents Renprofile from making further API requests using that connection.

For Gmail, disconnecting the Gmail channel stops Renprofile from syncing new messages immediately. Previously synced Gmail data remains subject to the data retention provisions of this Privacy Policy and is deleted when the workspace is deleted, subject to limited retention required for legal, security, fraud-prevention, backup, or dispute-resolution purposes.

For other integrations, information previously processed or stored may remain subject to the retention provisions of this Privacy Policy.

You may also revoke access directly through the relevant third-party provider.

AI Processing

AI is a core part of Renprofile. The Service uses third-party AI and machine-learning providers to operate features including the AI agent, knowledge retrieval, embeddings, and automated support.

Depending on the feature being used, information processed by Renprofile may be sent to xAI and Anthropic for language-model processing. This may include conversation history, customer messages, previous agent responses, business name and description, knowledge base content, customer memory, agent instructions, escalation rules, and relevant information retrieved from connected integrations.

This means that information submitted to Renprofile by your customers, including people communicating with your business through WhatsApp, Instagram, email, web chat, or other connected channels, may be processed by these AI providers when required to provide the AI features you have enabled.

Renprofile uses Cohere to generate embeddings for certain text used in knowledge retrieval and related AI functionality. This may include knowledge base content and relevant conversation text.

Renprofile may use Jina AI to crawl and retrieve website content when building a knowledge base from a website. URLs and crawled page content may therefore be processed by Jina AI.

We use these providers as service providers or subprocessors for the purpose of delivering Renprofile's functionality. We do not sell customer data or conversation content to these providers for advertising.

We do not intentionally use customer conversation data or other customer content to train our own general-purpose AI models. Where a third-party provider's terms, data processing agreement, or API policy governs the handling of data submitted to that provider, that provider's applicable terms also apply.

AI-Generated Responses

Renprofile's AI agent may generate responses, summaries, classifications, recommendations, or other outputs based on information available to it.

AI-generated output can be incomplete, inaccurate, or inappropriate in particular circumstances. You remain responsible for configuring the AI agent, reviewing its behavior where appropriate, and determining whether its outputs are suitable for communication with your customers.

How We Share Information

We share information only when necessary to operate the Service, provide features you have requested, protect the Service, or comply with legal obligations.

This includes sharing information with infrastructure and technology providers that process data on our behalf, including cloud hosting, database, email, AI, crawling, authentication, analytics, and other service providers.

We may also disclose information when required by law, regulation, legal process, or governmental request, or when reasonably necessary to protect the rights, security, property, or safety of Ren, our customers, users, or others.

If Ren or substantially all of its assets are involved in a merger, acquisition, financing, restructuring, bankruptcy, sale, or other business transaction, information may be transferred as part of that transaction subject to applicable legal requirements.

We may also share aggregated or anonymized information that does not reasonably identify an individual.

Data Retention

We retain information for as long as necessary to provide the Service and, unless otherwise required by law, for as long as the relevant workspace remains active.

Workspace data, including conversations, knowledge base content, customer records, AI configuration, and persistent customer memory, is retained until the workspace itself is deleted, subject to limited retention required for legal, security, fraud-prevention, backup, or dispute-resolution purposes.

Persistent AI memory may include customer preferences, facts, issues, purchase-related context, unresolved needs, buying intent, objections, phone numbers, conversation identifiers, workspace identifiers, and other context derived from previous interactions.

When a workspace is deleted, we will delete or de-identify workspace data within a reasonable operational period, subject to information that must be retained to comply with legal obligations, resolve disputes, prevent abuse, or maintain security records.

Connected third-party services may independently retain information according to their own policies and retention practices.

7.

Data Security

We use reasonable technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration, loss, and misuse.

These measures include encryption in transit and at rest where supported, access controls, authentication protections, credential protection, and security monitoring.

No internet-based service can guarantee absolute security. You are responsible for maintaining the security of your account credentials and controlling which team members and integrations have access to your workspace.

8.

International Data Transfers

Ren Limited is based in Nigeria, and information processed through Renprofile may be transferred to and processed in countries where Ren or its service providers operate.

These countries may have data protection laws that differ from those in your jurisdiction. Where required by applicable law, we use appropriate safeguards for international transfers of personal information.

Your Rights and Choices

Depending on where you live and the applicable law, you may have rights relating to your personal information, including the right to access, correct, delete, restrict, or object to certain processing and, in some circumstances, the right to data portability or to withdraw consent.

You can manage certain information directly through your Renprofile workspace. You may also disconnect integrations and revoke third-party access through the relevant provider.

If you are a customer of a Renprofile workspace and your information is contained within Customer Data processed on behalf of that workspace, you may need to direct your request to the business that controls that data.

To make a privacy request to Ren, contact us using the details provided below. We may need to verify your identity before completing certain requests.

10.

Cookies and Tracking Technologies

Renprofile and its service providers may use cookies, local storage, and similar technologies to operate the website and application, maintain sessions, remember preferences, understand usage, protect the Service, and measure performance.

Beacon may use local storage to maintain a device identifier that allows a support conversation to remain associated with the same visitor across sessions.

You can manage cookies and similar technologies through your browser settings. Some functionality may not work correctly if certain technologies are disabled.

11.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to Renprofile, our integrations, data practices, or applicable legal requirements.

When we make material changes, we may provide notice through the Service, by email, or by other appropriate means. The "Last updated" date at the top of this Privacy Policy indicates when it was most recently revised.
